Distributing messages


University Newsletter
Every Tuesday, Leiden University sends the University Newsletter (every week in Dutch) and the Leiden Latest (every month in English) to staff, students and external parties, including alumni. The right-hand column of the Newsletter is reserved for different notices. These include special headings for study and student associations, for example.

Conditions for inclusion in the Newsletter:
  • Notices should be received by the editorial team by Monday morning at the latest.
  • If the notice relates to a particular activity, this should take place after the Tuesday of the week in question.
  • Students should send a request for publication to: studentennieuws@ics.leidenuniv.nl
Bulkmail
Mail messages to specific groups are sent via a bulk mail. Examples of specific groups are:
 
  • Students of a particular faculty.
  • Staff of a particular department or service.
  • A personal mailing list.
     
Conditions for sending messages via bulkmail: 
  • Only staff or representatives of student associations can submit requests for publication.
  • The request should be submitted at least three working days before the required distribution date. 
  • The message may not be of a commercial nature.
  • The message should be academically relevant or related to teaching, for example public lectures, conferences or notices about classes.
  • The message should apply to the whole group.
     
What do I have to submit?
  • The subject of the message.
  • The actual message in plain text or HTML.
  • The sender of the message (name or organisation).
  • The reply mail address to which any response should be sent.
  • The date on which the message should be sent.
  • The focus group, for example “all students of Archaeology” or a personal mailing list.
  • Submit any personal mailing list in CSV format (separated by commas) or as an Excel file. Only put mail addresses and possibly a control mail address in the file, without a column heading.
        
What are the conditions that should be met by the content?
  • The subject should indicate the content of the notice and the sending organisation.
  • Messages in plain text should not contain any lay-out, such as underlining, bold or italics.
  • Include in the message a telephone number or a link to a website.
  • The message should not contain any attachment (this is not possible for technical reasons).
  • The message should not be excessively long and should, for example, fit on a single screen
     
It should always be clear who the sender is. Send your request to: a.lucas@ics.leidenuniv.nl or chp.hendriks@ics.leidenuniv.nl A check will be made whether the message in question complies with the communication policy. The number of bulkmails is kept to a minimum as many users find it irritating to receive such mailings.
